Three messages to fix one appointment: bookings for health and wellness practitioners
Physios, dietitians, therapists, massage and skincare practitioners spend the gaps between clients scheduling the next ones. A booking button on your card gives you the gaps back.

"Do you have anything on Thursday?" "Morning or afternoon?" "Afternoon." "I have 2 or 4." "4 please." "Confirmed, see you then."
Six messages, one appointment, and you sent your half of them between clients, in the car, or at nine at night when you had closed the laptop. For a practitioner who sees eight clients a day, that is the hidden admin job nobody pays you for.
Health and wellness businesses run on appointments, and many of them still schedule those appointments by hand on WhatsApp. It works. It also costs you time every day and a steady trickle of no-shows from people who never quite confirmed.
What a booking button changes
Newbi puts a booking button on your digital card. The client opens your link, sees your free times, and picks one. That is the whole exchange. No "when are you free", no checking the diary while someone is on the table, no appointment that was agreed in a voice note and never written down.
It works at 9pm, which is when many people decide to finally deal with their back, their skin or their sleep. It works when you are with a client. And it works for a client you have never met, who got your link from a friend and does not want to introduce themselves in a chat before they know whether you have space.
Each service has its own duration, the client gets a confirmation with a calendar invite and a link to cancel or reschedule, and you both get a reminder in the 24 hours before.
The card around the booking
The booking button does not sit on its own. It is part of a card that holds your whole practice in one link:
- Your photo, qualifications and a bio. Naya, the AI built into Newbi, drafts the bio from your description, or from a photo of your old paper card, and you edit it.
- Your services and a price list, so a new client can see what an initial consultation costs before they book one. Sending the price list once, by link, replaces sending it in every chat.
- A WhatsApp button for the questions that do need a conversation.
- A lead capture form for the person who is not ready to book, so their name and number land in your dashboard instead of being lost in a chat you forgot to reply to.
- Apple and Google Wallet passes, a QR code for the reception desk, and an NFC card, so a client can save you in one tap at the end of a session.
There is nothing to install for the client. The card opens in their browser, and its buttons, booking and forms can be shown in any of eight languages, including Arabic with the whole layout right to left, which matters for a practice with clients from several communities.
Deposits and no-shows
A no-show is a slot you could have given to someone on your waiting list. You can ask for a deposit on any service, and the card shows the client where to pay you. A small deposit at booking cuts no-shows, because a client who has paid something either arrives or tells you they cannot.
Managing it between clients
Bookings and leads are managed from the Newbi app on iPhone and Android, so a change between sessions takes seconds rather than a laptop. If your practice uses a CRM, the Professional plan sends every new lead to it by webhook.
Where to put the link
The point of one link is that it goes everywhere:
- Your WhatsApp Business profile, so anyone who messages you sees the card with the booking button one tap away.
- Your Google Business Profile and Instagram bio, where new clients search.
- A QR code at reception and on your invoices and appointment cards.
- Your email signature, for referrals from doctors and other practitioners.
- A wallet pass on your own phone, for the moment someone at a dinner says "I have had this shoulder thing for months".
On the Professional plan, the link can be your own domain, so the address on the sign outside the practice is yours.
What it does not do
Newbi is a card with bookings, not a clinical system. It does not hold case notes or claim from medical aids. If you need those, you need practice management software, and a Newbi card sits in front of it as the thing clients see and book through.
Getting started
Sign up with your email, with no password and no payment details. Describe your practice, or photograph your old card, and the card is drafted for you to check in the live preview. Pro, which adds bookings and wallet passes, is free for 14 days and then R189 a month in South Africa.
Give your clients a link instead of a conversation, and give yourself the gaps back.
